How to Show the Last Entry for Each Account in Access Query

Microsoft Access is a powerful database program, and one of the most powerful features of the program is its query function. This function allows users to create custom queries in a number of ways, from using a simple wizard to writing their own queries from scratch. By creating the right query, users can instantly see the last entry made in the database.

Instructions

    Open the Microsoft Access database and click on the "Queries" tab. Choose "Create Query in Design View" from the list.

    Right-click the top pane of the window and choose "Show Table." Choose the table or tables that contain the data you need to create the query.

    Double-click each field in the table to add it to the query. Make sure you include the field that shows the date the record was updated.

    Click the date field and click the summation tool on the tool bar. The summation tool looks somewhat like a capital "E."

    Choose the "Group By" option and choose "Max" from the drop-down list. Your query will now show the most recent date for that field.
