How to Set Up a Table at an Expo

An expo, or exposition, is an event where vendors specific to the expo's theme or field rent booths or tables to present their products and services to prospective clients and customers. A common type of expo is a bridal expo, where wedding vendors such as florists, DJs and photographers display their work samples, rates and services to engaged couples. The booth should quickly engage prospective clients and provide swift and thorough information to represent your work and services.

    Sign up for the event, register for a booth or table and pay any fees through the event host or coordinator. Communicate any needs for electricity or Internet access up front, as this can sometimes result in additional fees. Make note of the size of the table so you can plan the presentation items to bring that will fill up the space, but not overwhelm it.

    Arrive at your designated table space at least one hour prior to the event to ensure you have enough time to set up. It will be very detrimental to your image and first impression if you are scrambling to finish setting up while customers are arriving.

    Spread out a tablecloth over the table to create a polished and neat display backdrop.

    Plug in any computers or televisions being used and set them to play the desired video or display the appropriate website.

    Post a tri-fold poster on the table. Each segment of the poster should display clearly three facets of your business or organization. For example, a photographer at a bridal expo may display photos and testimonials from past clients on one panel, her packages and rates on another, and a brief biography along with contact information on the third.

    Make business cards and any pamphlets or brochures easily accessible and plentiful on the table. Place them near the edges of the table so customers passing by can easily grab one.

    Add additional elements to showcase your services. A DJ may want to have a stereo softly playing music in the background. A photographer may add some framed photos to the table space. A florist may display bouquets and arrangements of real flowers. Add any elements that will make you stand out as well as communicate your skills.
